Maintenance Utilities: Import, Misc. Utilities, Delete, Pack and Reindex, START


These utilities are used for deleting part records from various database files. You can delete data using different criteria. Some of these functions allow you to select the "Database Files to Process". You may select Inventory or Requirements. You also may choose "All Offer Files" or "Select Offers Files" which will allow you to select which offer file(s) to maintain. There are 2 pages for the Delete Functions: Delete 1 and Delete 2.

Delete parts with pricing info - If this option is unchecked, parts with pricing information will not be deleted during any of the Delete Functions even if they match the delete criteria.

 

Delete By Company and Date - Use this option to remove a specific company's or companies' parts. You may select a specific part date or date range to delete. There are three way to select the companies to delete.

All Companies - Selecting this option will delete every offer entered within the specified date range

  

Specify Company - You may select the company  from company list in PartBase or you may type in the Company Code of the parts you wish to delete. 

Use Company List - Here you may enter more than one company codes.

Delete By Part Number - You may create a list of part numbers or partial part numbers to delete. Click on "Add" to enter a new line.

Delete Exact #? - Double click on this column to enter a "Yes" or a "No" next to the part number to delete. If "Yes" is selected, only exact matching part #'s will be deleted. If "No" is selected, all parts beginning with that part # will be deleted.

Be extra careful when entering the part numbers ro delete and selecting whether you want to delete exact # or not. If you put a single number as the number to delete and "Delete Exact #?" is "No", all parts beginning with that number will be deleted.

 

Delete By Quantity - You may parts that has a quantity less than a certain amount. When selecting this option, you will be prompted to "Delete for quantity is less than:". Enter the quantity the part has to be less than to be deleted.

 

Delete Parts From Data Service - Choose this option to delete all records that was imported from a Data Service website. These records would have been imported through Customized Import

 


Delete Duplicates
- If you import from several data sources, the database will most likely contain duplicate part information. It is best to run "Convert Company Codes" first so you can check duplicates by the company codes. When you select this option, a dialog box will prompt you "When comparing Mfg,. check only first __ characters" When it scans for duplicates, it compares the full company code and full part #. But when it compares the mfg you can specify how many characters of the mfg to compare. This is because sometimes the imported mfg field comes in different widths and the mfg name/code could be abbreviated for some imports. Also if it was data entered, the user could have typed the mfg a different way. The larger the # of characters to compare, the more duplicates might not be found.

 

Delete Blank Part Numbers and Company Codes - Selecting this option will delete parts that does not contain a part # or company code.

 

Delete by Code - This is found in the "Delete 2" page. Choose this option to delete parts based on the value in the Code field. This will prompt you for the Code of the parts to delete.
